Grant and use Additional Roles

Give users scoped access for extra responsibilities and switch between roles in one account.

Additional roles let a user take on extra responsibilities without needing another account or shared login details. Each additional role has its own permission and department scope, while the user's existing access stays unchanged.

This feature is especially useful for:

  • Platform Owners or Administrators who grant or manage access for users who need temporary, delegated, or cross-department access.

  • Platform Owners who wants to access and view the My Team feature for a selected area. My Team is not available via a Platform Owner Permission type

Grant an additional role 🤝

  1. Go to User Management.

  2. Open the user's profile settings.

  3. Select Grant Access.

  4. Choose one permission for the additional role.

  5. Select one or more departments. A department selection is required for every additional role.

  6. Leave the dates empty for permanent access or set start and end dates if the access should only be available for a limited period.

  7. Save the additional role.

Revoked assignments remain in the access history, so previous access can still be reviewed.

Manage a user's additional roles 🛠️

  1. Open the user's profile settings.

  2. Go to Addtional Access Roles, right click and select Manage Access.

  3. Review the user's additional roles, including their permission, departments, role start and end date, and source.

  4. Edit or revoke an assignment when the user's responsibilities change.

Switch between roles

Once the additional role is granted the users can switch between roles from directly from their profile

  1. Open the role selector from your profile header or profile menu.

  2. Select your role access or one of your valid additional roles.

  3. Wait for the platform to reload with the selected role. it may require a manual reload of the page or to log out and in.

You work in one role at a time. The active role determines which permissions, departments, and Insights data you can access. Access from separate roles is not combined.

Find and export additional role information 🔍

In User Management, you can display additional access as a column by adding it via the Ccckwheel filter.

When exporting user data, select Additional roles to include the additional-role details and a separate sheet will appear inside the export file with included information such as the permission, departments, validity or state, source, and created or updated information.

Good things to know 🧠

  • An additional role always contains one permission and at least one department.

  • Start and end dates are optional. An assignment without dates is permanent until it is revoked.

  • If your active role expires or becomes unavailable, the platform prompts you to switch to another available role.

  • Changing or revoking one additional role does not remove the user's base access or unrelated roles.

  • For direct-manager permissions, access to the user's dynamic team is included. The selected departments still apply in department-scoped areas such as Insights.
