External training lets your organisation record courses, workshops, and other learning and trianing sessions completed outside your platform. Once a registration is approved, it becomes part of the employee's learning record and can grant connected certifications and skills.
Who this is relevant for
Administrators create the external training types employees and managers can select.
Employees register completed external training and send it to a manager for approval.
Managers review employee requests or register external training directly for employees they manage.
Set-up and access
Review the permissions for each relevant user group to grant access to the feature: Users for access, Admins for management, and Managers for review access (under My Team).
Go to Permissions, select the relevant permission type, and enable the appropriate External Training permissions based on what those users should be able to access or manage.
Set up an external training type
Go to Platform settings → External training.
Select Create.
Enter a training name.
Optionally add a default time spent and a category.
Optionally connect one or more existing certifications.
Optionally connect skills and choose the target level for each skill.
Save the training type. It is immediately available for registration.
The default time is only a starting value. The employee can edit it for actual time spent, and the manager can edit them again during approval.
Time spent uses the final approved value in Track and reporting; if left blank, it stays blank and counts as zero in aggregates.
Register training as an employee
Go to Learning → External training.
Select Add.
Choose the relevant training type.
Enter the training date. The date cannot be in the future.
Check the time spent and update it if needed.
If the training grants a certification, you can upload one PDF certificate.
Optionally add a comment, then submit the request.
The registration appears with Pending status until a manager reviews it. Certifications, skills, reporting, and compliance are only affected after approval.
Register training for an employee
Managers can register external training for employees they are authorised to manage.
Open the employee from My Team or open the employee profile.
Select More actions → Register external training.
Choose the training type and enter the completion details.
Confirm the registration.
A manager-created registration is approved immediately and does not require a second approval.
Review an employee request
Open My Team and find the request in the Actions widget, or go to Actions → External training.
Select Review.
Check the training type, training date, time spent, certificate, and comment. You can correct these details before deciding.
Select Approve or Decline. A decline requires a reason.
Approved requests are added to the employee's learning record. Rejected requests are final and cannot be edited or resubmitted.
Good to know
Status can be Pending, Approved, or Rejected. Only approved training counts as completed learning.
If a training type grants a certification and no PDF is uploaded, the learningbank platform generates the standard selected certificate when the registration is approved.
Certification validity begins on the external training date and follows the certification's existing validity and renewal settings.
Approved external training appears in the External training views in Track Users and Track Content. It can also be used with existing filters, saved views, and exports.
Training without a connected certification does not ask for or generate a certificate.
An administrator must create the relevant training type before employees or managers can register it.
