What is and how to set-up Permission Types

Permission Types determine which features a user has access to in the platform, whether from the user or the admin dashboard.

What's the difference?

  • With user permission, one will only be able to view the user dashboard. The primary purpose for users is to be happier by getting better.

  • As an admin, in addition to a user dashboard, you have access to the administrator dashboard. From this view, you can manage the platform depending on which features are enabled inside permission types.

Standard Permission Types

To help you save time, new default permissions to the permission feature have been added. These updates provide a clearer definition of responsibilities, making it easier to delegate tasks and ensure everyone has the right access to succeed.

Overview:

  • Owner (Previously Administrator): The main point of contact with Learningbank, with full platform access and management capabilities.
    This includes:

    • Receiving product updates.

    • Platform announcements.

    • Billing information.

    • Becoming Learningbank's primary contact.

  • Manager: Oversees teams and approves content and events.

  • Content Creator: Creates and edits modules, events, learning paths, and skills.

  • User: Retains access to learning materials as usual.

Manager, Content Creator, and User are editable to fit your needs.

If your platform was created before August 2024, this will not apply to you to not interfere with existing permission set-up.

To avoid you feeling overwhelmed, we made an overview with a short explanation of what the different settings and features you find in Permission Types do. Why use Permission Types?

The thought behind providing you with options is to customise it to your liking. Team managers might not need to be able to create a module in the same way the Content Creator doesn't need to know which users completed which modules, and so on. Besides providing users with manageable dashboards by eliminating features they don't need to access, other reasons could be GDPR-related or similar. Now it is time for what you have been waiting for - an overview of all the features explained. Enjoy!

Navigating the Permissions Overview Table

  • User refers to the user dashboard, while Admin reflects access to the admin dashboard.

Before wondering why you might not have all the same options as described in the overview, we'll let you know that not all of these are enabled on every platform. The options depend on how you wish to use the platform, and if you want to learn if any of them suits you, please contact our support.


Permission Options Availability by Package

Permissions are divided across two packages: Culture and Enablement. Based on your platform setup, different features will be available to enable in your permission types.

Check the overview tables for each package to explore the available features and settings.

Culture Package:

User

Admin

Organisation

Not selectable.

Access to edit in the organisation (departments, job profile and permission types). You also get to choose if they should be able to change your communication settings. If enabled on a permission, then these users can make edits to your user dashboard.

User management

Not selectable.

Besides editing, creating and deleting new users, you can also enable the ability to export user data to Excel files. The permission also allows you to upload users via import files.

Create and edit modules.

Users can attend and view events they are invited to.

Create and edit events.

Documents

View the documents shared with them.

Share documents with users.

Achievements

By enabling this one, users can view their own learning journey. This means they can see their medals and certificates, but also streaks, how many modules and learning paths they have completed, and they can compare themself with departments, job profiles and the organisation.

Here an admin gets to do the same thing as the user, but they can also view the achievements of all the users below you in the waterfall structure.

Users can see the learning paths which have been shared with them.

The admin can create, edit, delete, and view learning paths depending on which boxes you mark.

Set up and manage your platform's design, including the logo, colors and themes.

Access to see and edit your integrations to the platform.

Again you can customise exactly what you want the admin to do in the boxes that appear when the feature is enabled. Besides editing the sharings, admins can also manage which users will receive the sharings.

Managers with a user profile can access the My team feature from their user dashboard. Here, hey can view their team’s learning progress, send reminders, and take action on pending items -such as approving enrolments, reviewing written answers, and completing On-the-Job Training steps.

Approve written answers, mark learning as completed on behalf of users and access manager-driven modules.
Have an overview of your actions through the Requires my attention section.

Upload, manage, and train Knowbot with your organization's materials.
