Q1: What happens if I delete a sharing and a user has completed modules in that specific sharing?

  • A1: If you delete a sharing, the user and admin will lose the visible record of completing the module within that specific sharing. However, the platform retains the data at a module level behind the scenes as long at this module itself is not deleting completely from the platform through the Module Menu. If you reintroduce the module in a different sharing, it will re-appear as completed for the user.

Q2: Can I move modules or learning paths between sharings without losing user progress?

  • A2: Yes, user progress is tracked at the module level. When you move a module to a new sharing, the platform should recognise previously completed modules as completed and ongoing progress on the learning path.

If you utilise the Recurring feature or the Complete Again feature in your move/reorganisation, you are changing the criteria for user progress and completion (See Q4, Q5 and Q6).


Q3: What should I do before moving active content to ensure a smooth transition?

  • A3: Export the completion data and disable communication notifications before making any changes. This will help you organise content behind the scenes without affecting the user experience.


Q4: Will the Recurring Feature recognise past completions when I move modules to a new sharing?

  • A4: The Recurring feature will consider past completions if they match the Recurring criteria
    you’ve set in the new sharing. Be sure to review and adjust these settings accordingly.

Q5: What should I consider when using the Recurring function?

A5: When using the Recurring function, there are initially two things you need to consider: What should be recurring - Learning path or module? How often should it be recurring?
Using the Recurring feature is a great fit if users need to retake the entire learning content on a regular basis. This setup is ideal when the content:

  • Requires consistent re-completion to reinforce knowledge.

  • Are required by law or policies to be retaken or re-certified for e.g. compliance or safety measures

Maintain a clean structure when using Recurring.

To keep your training schedule organised, ensure that each user is assigned to a specific training using the Recurring feature only once.
Assigning the same training to a user multiple times through different sharings will create multiple recurring periods, which can cause confusion and lead to scheduling conflicts. By assigning training through a single sharing, you can maintain a clear and effective training structure.


Q6: What is the “complete again” setting, and when should I use it?

  • A6: The “complete again” setting forces users to retake a module, even if they’ve completed it before. This setting should typically remain disabled, especially when using old modules in new learning paths, unless retaking the module is required for ALL users, regardless of previous attempts or completions.
    The setting is, per default, disabled.



General Recommendations when reorganising Sharings, Learning paths and Modules

  1. Data Export

    • Why? Before moving or reorganising active content/modules, export the completion data. This is a good way of preserving user records if you plan to make updates to core content (modules).

    • How? Navigate to the reporting section of the platform and export the relevant data for the modules you plan to move. Save this data securely.

  2. Disable Communication Notifications

    • Why? To prevent unnecessary notifications to users during the reorganisation process.

    • How? Go to the communication settings and disable notifications temporarily while you move the content.

  3. Recurring Feature Considerations

    • Why? When utilising the Recurring feature for existing content in a new sharing setup, be mindful that the platform only considers previous completions if they match the new criteria you set.

    • How? Review and adjust the criteria for the Recurring feature before moving the modules. Ensure it aligns with the historical data of completions.

  4. Module Setting: Completion Again

    • Why? To avoid forcing users to retake training they’ve already completed, be cautious with the “complete again” setting when adding old modules to new learning paths.

    • How? Ensure the "complete again" feature is disabled unless retaking the module is necessary. This setting is disabled by default.
