Best practice: Deadline reminders

Keeping users on track with deadlines is a key part of driving engagement and ensuring timely completion. Fortunately, the platform offers several ways to send reminders - both manually and automatically - so you can choose what works best for your workflow.

Want to remind your team before a deadline sneaks up? Whether you’re checking in on one person or nudging an entire team, we’ve got you covered. Below, you’ll find an overview of all the different options available to help you stay on top of deadlines!


Admin dashboard

Under Requires My Attention, the Home tab provides a quick overview of actions that might need your attention, including Exceeded deadlines.

Click Exceeded deadline to proceed to the following view of a list of users, where you can:

  • Click the ✉️ envelope icon to send a reminder to individual users

  • Use the search bar to find specific users

  • Apply filters like Expired, Job profiles, or Department to narrow your results


My Team

Want a clear view of how your team is doing with deadlines? Head to My Team → Deadlines to get the full picture - and take action directly.

What you can do here:

  • Use the search bar to find a specific team member

  • Filter by Deadline to view users with expired deadlines, or those with upcoming deadlines in 3, 7, or 14 days

  • Use the Members filter to display selected team members in a collected view

Good to know💭 You'll also see the option to Send reminder to all - please note that this sends reminders to all team members with expired deadlines, not just the ones currently selected in the Members filter.

Individual follow-up vs Bulk reminders

Whether you're following up with one user or your whole team, there’s a simple way to do it.

For individual check-ins, head to My Team or Requires My Attention and find the user you want to follow up with. You can also go directly to their User profile > Learning paths tab to get an overview of their general status - if a deadline has been missed, it’ll be clearly labelled.

To reach more people at once, use Send reminder to all from the My Team view. This will trigger a reminder for every team member with an expired deadline, making it easy to stay on top of things in one click.


Automatic reminders

Want to make your life even easier? You can do so by enabling relevant Communication options. Instead of managing everything manually, let the system handle it by setting up automatic communications based on upcoming or missed deadlines.

Head over to Communication Learning and set up automatic messages by activating relevant options:

  • Deadline reminder

  • Upcoming deadline reminder

  • Expired deadline reminder

When toggled on, these will automatically notify users at the right time - no manual actions needed (except setting the deadlines on your content, of course!).

Quick tip💡 Deadlines are based on the date itself - not the end of that day.

For example, if a deadline is set for March 5, it means the gate for completions closes as soon as the date turns from March 4 to March 5 at 00:00.

Deadline reminders aren’t just about chasing completions — they’re a great tool for supporting user progress and helping everyone stay focused on their development goals. With the right setup, they ensure content is completed on time and learning stays on track.

Here are a few tips to get the most out of reminders:

Enable automatic reminders
Turn on the Upcoming deadline and Expired deadline options under Communication → Learning to let the system notify users at the right time - no need to send reminders manually.

🧭 Stay proactive with My Team
Keep an eye on the Deadlines tab to support users who may need a gentle reminder to complete their assigned learning.

🎯 Use filters for targeted reminders
Apply filters like Job profile, Department, or Expired to reach the right users faster - whether you’re in My Team or Requires My Attention.

📌 Remember to set deadlines

Such reminders only work if deadlines are added to the content. Make sure to include them as part of your learning setup.
