They represent a fundamental shift in how we approach manage learning, placing people at the center of the learning experience rather than content. This new approach helps organizations create more targeted, effective learning experiences while simplifying administration.

Circles are a part of all platforms, however, Catered Explore and Skills in Circles are a part of our Culture packages. If you do not have access to them, and you'd like to explore them, you should reach out to your Customer Success Manager.
Setting up a Circle
Setting up a circle begins with creating and naming it. Then you are ready to add users. Circles are based on departments, job profiles, and permissions, just as you might have know it from rules in a sharing. Therefore, it is highly recommeded that you have a good structure of all 3 value to maximize the benefits of circles.
There are two main types of circles: Dynamic and Static.
Dynamic circles use automation rules to manage membership, making them ideal for role-based or department-based groups.
Static circles, on the other hand, allow for manual member curation, perfect for special cases or unique groupings that don't fit standard organizational patterns.
Tip💡 Nameing a circle should include the words that describe who the users in the circle are. E.g. if consists of only cashiers located in Denmark, then you could call it Cashiers DK.
Create an automation
Now that you have the basics of the circle down, you are ready to add users. To do that automatically based on criteria already in your platform, you can follow these steps:
Click on the Create automation button.
Name your automation, so you and your team knows who it targets.
Choose the department, job profiles and permissions you need for the automation.
Click on Preview to see which users currently match the automation criteria.
If everything looks good, click Create.
Now you are ready to add content to the circle!
Good to know💭 The automation is based on an and/or principle. This means that if you put department 1, department 2, department 3 in the same automation, a user is added if they are in either of these 3 departments.
If you were to then add job profile 1, then it targets all users in either of the 3 departments, but only if they also have the job profile.
Should you need more than one automation in your circle, you can create five automations in the same circle.
Automations can always be paused, edited or deleted.
Settings
If you only need to target newly created users, you can choose "Add only newly created users" in your settings.
For the automaition, you can also choose that the automation should target future departments or job profiles. I includes new departments created within your selected hierarchy.
Add users to a circle manually
You can also add members manually to any circle. this is simpy done by clicking the Add button and then adding the ones you need using the searchbar or filter to add them.
These manually added members remain in the circle until explicitly removed, regardless of automation rules. The member list clearly shows which members are automation-driven versus manually added.
One circle can have both manually added users, and automations at the same time. Users added via automation are marked with a ⚡️ so you can tell them apart. These manually added members remain in the circle until explicitly removed, regardless of automation rules.
Content management
Circles offer several powerful features in terms of content management.
You can add journeys to a circle, which immediately shares them with all members (depends on the starting point settings.
The explore feature allows you to add learning paths and events specifically for circle members, creating personalized recommendations without needing to enable explore in the learning path settings.
With Skills management in circles you can set target skill levels for members, which appear as expectations in their profiles. Members can work toward these target levels through learning content, creating a clear development path.
When removing members from a circle, you have options for content management. By default, members keep their completed journeys, but you can choose to remove content access. They immediately lose access to explore content, but retain any skill levels they've achieved.
For each of the options above, you go to the tab you need, and click either "add" or "share" to add it to the circle.
Journeys
Before adding your journey/journeys to the circle, a pop up will show you all the ones you have marked, after clicking share, all published journeys will be shared with the circle.
The journey does not have to be published yet, and if you are add a draft version, the content will firstly be visable for users after the journey is published.
Skills
Once you have added a skill to the circle, you can choose the skill level, that will be the target for the members. Then they can work toward these target levels through learning content, creating a clear development path.
When implementing skills, set realistic target levels and align them with available learning content. This creates clear development paths for members and helps track progress toward organizational goals.

Explore
When using explore in your circle - we also call this Catered Explore, you can give users recommended learning paths depending on their job role. Users with Catered Explore on their profile will also still be able to view explorable content public for all other users, however an additional tab is added where the recommendations are placed.
The learning paths you add to a circle does not have to be in explore already, and if the paths are not a part of the "regular explore" no other users but the members will be able to view it in explore.
Removing members from a circle
When removing members from a circle, you have options for content management. By default, members keep their completed journeys, but you can choose to remove content access. They immediately lose access to explore content, but retain any skill levels they've achieved.
Automation
Let's say a user gets promoted, which causes them to no longer match the criteria in the automation. Then, they'll be removed from the circle but keep their journeys already assigned and skill progress, while catered explore is removed from their user. This means that if you add new learning in the journey, they are asked to complete it. However, if you add an entirely new journey, they are not assigned this.
Manual
If you manually remove a member from a circle, a pop-up will ask if they should stay assigned to the journeys or not. Regardless of what you choose, skills already obtained stay with the user. All journeys completed by the users are hidden but saved on a module level, meaning that you can find them in the users' history but not in insights.
Deleting a circle
When deleting a circle, you are asked to choose if members should keep their journeys, or if they should be removed from the users.
Good to know💭 If you’re an admin with Circles enabled in your permission but aren’t a platform owner, you won’t see the option to delete circles. Only platform owners can edit, manage access, or delete circles.
History log
For administrative purposes, circles include a history log accessible to platform owners. This log tracks all circle-related actions and membership changes, providing clear oversight of learning management.
You can decide who should have access to this feature in permission types, however, please note that they will be able to view names of all users in the platform despite being in the same or parent department.

The key to successful implementation is maintaining focus on people's needs first. Build your content around roles and create clear progression paths. This approach helps ensure that learning directly supports employee development and organizational success.
