What are Custom Fields?
Custom Fields are additional data points you define and attach to users. They complement the standard user information in Learningbank and allow you to model real-world organisational differences that are not the same for every customer.
Examples include things like location, gender, hobby, internal classifications, or operational distinctions that matter for learning, reporting, or compliance.
Custom Fields are available across the platform and can be used to support both operational workflows and analysis.
What can Custom Fields be used for?
Custom Fields are designed to support three main areas:
Targeting and automation
Single Choice Custom Fields can be used to target users more precisely, for example, when building automations for your Circles.
Insights and reporting
Both Free Text and Single Choice custom fields can be added as columns in Track Users, giving you more context when analysing progress, engagement, or completion.
Single Choice Custom Fields can also be used as filters in Track Users.
Structuring employee data
Custom Fields help create a shared structure for employee information, making the platform easier to manage and scale over time.
Types of Custom Fields
When creating a Custom Field, you choose between two types:
Single Choice
Used when the information should follow a defined structure and be consistent across users.
Free Text
Used when the information is descriptive, variable, or does not follow a fixed structure.
The choice depends on whether the data should be standardised or more flexible.
How to set up Custom Fields
Go to Platform Settings → Integrations → Custom Fields
Click "+Create"
Give the field a clear and meaningful name
Choose the field type
Single Choice
Free Text
Define the available options
FIeld Name
Add values *Only for Single Choice type
Integration Mapping / Description
Save the field
Good to know 💭 You can create up to 50 Custom Fields.
Adding Custom Fields to a User
To add values for Custom Fields on a user, you do this directly from the user’s profile.
Steps
Open the user you want to edit
Go to Profile settings
Click Additional information at the bottom
Fill in the relevant Custom Fields
The Custom Field values are immediately available across the platform, including Track and Circles.
Good to know 💭 Your organisation is responsible for how Custom Fields are defined, populated, and used, including the accuracy and appropriateness of the data stored.
Using Custom Fields via integration
Custom Fields can also be populated through integrations if the data already exists in another system.
