Shareable Views allow you to share saved filters with other admins and reuse them directly in Track. This removes the need to rebuild filters repeatedly, making it faster and easier to work with insights across the organization.
With Shareable Views, key filter configurations can be quickly accessed by the right people, saving time in day-to-day analysis.
Read on to learn how to work with them!
Quick tip๐ก Think of Shareable Views as reusable shortcuts for recurring reporting and operational insights. They work best when they reflect common training and workforce needs.
For example: Mandatory Training Completion, Onboarding Progress, Course Engagement.
Using a clear naming structure (purpose + audience + timeframe) makes it easier for others to find and reuse the right view!
Saving and Sharing View
When you save a view in Track, you will be met with a pop-up window where you can choose the view's visibility:
Private โ only accessible to the admin who created it.
Public โ accessible to all admins.
Restrict to Circle โ accessible only to admins from the selected circles and super admins.
Once saved, the view becomes available for relevant users in the Views dropdown in Track. From here, you can quickly switch between saved views.
In the Views dropdown, you can also:
Edit a view (โ๏ธ)
Delete a view (๐๏ธ )
Add to favourites (โญ)
๐ญ Good to know Favourited views appear in the Favourites widget on your admin dashboard. Clicking a favourite opens Track with the filters already applied!
Sharing a View
At the bottom of the 'Save view' pop-up window, youโll also find a direct link to the view for quick access:
If you want to share an already saved view, go to the Views dropdown, select Edit, and copy the shareable link from there.
Managing and Updating Views
You can manage your own Views after they are created:
Update who can access a view (visibility options).
Edit or rename your own views.
Delete views you have created.
What about if you change any filter while a view is applied? The 'Update this view' option appears. You can then choose to either overwrite the existing view or create a new one.
A View can be updated by the user who created it or by a super admin (if the View is public or restricted).
Quick tip๐ก
To keep Shareable Views useful over time, consider defining simple internal rules for when a view should be shared versus kept private.
