Upcoming Changes to Optional and Required Settings in Learning Paths

Overview

To simplify the setup and streamline the learner experience, Learningbank is updating how optional and required settings work within Learning Paths. With this update, optional and required settings will no longer apply to individual modules; instead, you’ll set completion requirements at the Learning Path level within a Journey.

This change eliminates the possibility of conflicting completion settings and provides more flexibility for managing Learning Paths. Now, you can decide if an entire Learning Path should be optional or required within each Journey, while everything inside the Learning Path will have to be completed in order to achieve 100% completion.


What Does This Solve? (Benefits after the update)

Previously, having optional settings on individual modules within a Learning Path could result in confusing or contradictory completion statuses:

  • Completion Conflicts: If all modules in a Learning Path were set as optional, the learner could see the path as “Completed” without completing anything, as there where nothing required in the learning path for the learners to complete.

  • Streamlined Reporting: This update ensures that all modules within a Learning Path contribute to a learner’s progress, improving clarity and simplifying tracking.


What Changes Are Being Made?

The update will roll out in two phases to help you smoothly transition to this new approach:

Phase 1 (Current Release)

In the first phase, no changes will be made to your existing Learning Paths. Your current settings for optional and required modules will continue to function as they do today. However:

  • New Learning Paths: You will no longer be able to set new modules to “optional” within a Learning Path.

  • Republishing Restrictions: If a Learning Path contains modules set as optional, you won’t be able to republish it until the optional modules are updated to required.

Summarised💭 This means 2 things in phase 1:

1. No changes will happen to your settings on modules automatically.

2. If you remove the optional setting from your module, you will not be able to add it again.


Phase 2 (End of January 2025)

In the second phase, optional settings will be removed entirely on settings in :

  • All Remaining Optional Modules Will Convert to just being content: By the end of January 2025, all modules within a Learning Path will automatically be changed not to have a setting of required/optional.

  • Setting Removal: The option to set modules as optional or required within a Learning Path will disappear, leaving completion requirements only at the Learning Path level in Journeys.


What Do You Need to Do?

To ensure your Learning Paths align with this new structure, here are the steps you may need to take:

  1. For Learning Paths with only Optional Modules:
    If your Learning Path is currently set to optional and you want it to remain that way, simply:

    • Set all modules within the Learning Path to “required.”

    • Then, in the Journey where the Learning Path exists, set the Learning Path itself to “optional.”

  2. For Learning Paths with a Mix of Optional and Required Modules:
    If a Learning Path contains both required and optional modules, consider dividing it into two separate Learning Paths:

    • One Learning Path for content you want to keep as required.

    • A second Learning Path for content you want to keep as optional.

    • Then, adjust the Journey settings to mark one path as required and the other as optional.

  • Content Creation: Going forward, all modules within a Learning Path are required by default.

  • Optional Setting Location: The optional or required status will now only be set on the Learning Path level within a Journey.

  • Reporting and Tracking: Completion data will now accurately reflect learner progress, as all modules within a Learning Path will be required for completion.

Q: Can I still create optional content within a Learning Path?

A: No, individual modules within a Learning Path are required by default. However, you can set the entire Learning Path to optional within a Journey if needed.

Q: How does this impact reporting in Insights?

A: This update simplifies Insights by removing individual module completion tracking within a Learning Path. You’ll now see progress based on the completion of entire Learning Paths, making reporting clearer and more streamlined.

Q: What if I want only some of my content to be optional?

A: To offer both required and optional content, you can separate your content into different Learning Paths. Set one path as required and the other as optional within the Journey.
