Branding: Custom Certificates

Want to showcase your own certificate design?
Choose one of our 3 carefully crafted templates – or upload your own to let your brand shine. You can easily upload a PDF with your branding and layout, and let our system fill in the users name, issue date, and more — automatically.

Follow this step-by-step guide below to prepare and upload your custom certificate.


Get started

Before getting started, there is a few things you'll need:

  • A certificate design in PDF format

  • Editable text fields in the PDF (we’ll explain how to add those below)

  • A tool to create these fields:
    Sejda.com (free, online — used to this demo), Adobe Acrobat, SmallPDF, or any other PDF editor

Step 1: Design Your Certificate

Design your certificate using any tool you like: Canva, Illustrator, PowerPoint, Figma, etc. You can include logos, graphics, signatures — whatever fits your brand.

Good to know💭

Leave space (but no text) where you want any of the following information to appear:

  • Certificate Title

  • User Name

  • Issue Date

  • Expiration Date

This ensures we can insert the correct data later.

Step 2: Add Text Fields to Your PDF

Once your design is exported to PDF, open it in a PDF editor that lets you insert form fields. Use Sejda.com, Adobe Acrobat, or any tool that supports form fields.

How to insert fields:

  1. Open your PDF

  2. Add text fields (not just text!) that you need. We support these:
    Certificate Title
    User Name
    Issue Date
    Expiration Date

  3. Name the fields clearly (e.g., User_Name)

  4. Adjust text size and color to match your layout

🎨 You’ll choose the font inside the platform later

Quick tip💡 Make sure fields are large enough to handle long names or dates.

Step 3: Save Your PDF

Save your updated PDF with the form fields embedded.

Step 4: Upload Your Certificate

In your Learningbank Branding page:

  1. Go to Organization -> Branding -> Certificate PDF 📍

  2. Click Upload

  3. Select your PDF

We’ll now scan the PDF for form fields.

Step 5: Save and Use Your Certificate

Once mapping is complete:

  1. Click Save

  2. Your design is now available in your certificate list

  3. You can apply it to any certificate in a Learning Path

Every time a user completes the assigned Learning Path, they’ll receive a personalised certificate with their name, course title, and dates beautifully inserted.


Detection of fields

If no fields are found, you’ll see this message:

“The uploaded PDF didn’t include any text fields, which is required for compatibility. Read the instructions and try again"

To fix this, you should g
o back to Step 2 and add form fields properly.


If fields are found, you’ll see a pop-up listing the fields we detected.
Here, you’ll map each one to the correct data.

For example:

PDF Field

Assign Data From System

Field_1

User Name

Field_2

Issue Date

Use the dropdown menus to select what each field should show.

Here, you can also select the font each field should use. You can select any of the fonts you have uploaded in “Fonts”.
