Easy@Work: Integration Setup

This guide walks you through how to integrate your Learningbank platform with Easy@Work, including user synchronization and automatic login.

Set up your Easy@Work integration with Learningbank. Easy@Work offers a delegated user integration, with a redirect from app setup with automatic login.

📣IMPORTANT: The integration offered by Easy@Work is delegated. This means that Easy@Work owns the integration. If you experience missing or incorrect data or login issues, please reach out to Easy@Work first.

Delegated User Integration

The delegated user integration with Easy@Work creates and updates users in Learningbank based on the user data in Easy@Work.


Prerequisites

Before setting up the integration with Easy@Work, the following two prerequisites needs to be done:

  • Default job profile, department and permission needs to be set on the platform

  • A Multi-Select custom field with the name "Titles" and integration mapping "titles" needs to be set up

Configure Integration in Easy@Work

First, you need to obtain the username, token and password from Learningbank by creating a new set of API keys on your Learningbank platform.

With these obtained, you are now ready to reach out to Easy@Work, to set up the integration. Just send them an email requesting the setup, and they will set it up together with you! 🚀


How It Works

The delegated user integration with Easy@Work imports users, departments, job profiles, and permissions to the Learningbank platform.

The integration can be enable for individual locations, or for all at once. Once enabled, all updates and newly created users will be synced immediately to your Learningbank platform.

Departments

  • Departments in Learningbank are based on locations in Easy@Work.

  • If a user has multiple employments in Easy@Work, all locations across the active employments are combined and synced to the department field on the individual user in Learningbank.

  • When the integration creates or updates users with new locations, the locations are created as departments. The departments are created as a flat structure in Learningbank, that can be moved manually if necessary.

Permissions

  • Permissions in Learningbank are based on groups in Easy@Work.

  • If a user has multiple employments in Easy@Work, all groups across the active employments are combined and synced to the permission field on the individual user in Learningbank.

Job Profiles

  • The job profile field in Learningbank is populated by the country of the user in Easy@Work

Titles (Multi-select custom field)

  • The custom field "Titles" in Learningbank, is based on the positions in Easy@Work.

  • If a user has multiple employments in Easy@Work, all positions across the active employments are combined and synced to the titles custom field on the individual user in Learningbank.

Users

Users are created and updated in Learningbank based on the user data in Easy@Work.

If a user is deactivated or deleted in Easy@Work, the user will also be deactivated in Learningbank. This also applies for users with a termination date in Easy@Work. If we are past the termination date, the user is automatically deactivated in Learningbank.

Quick tip💡

Easy@Work does not delete users in Learningbank. Users are only deactivated. Remember to set up User Automation on the User Management page to delete or anonymize deactivated users after a period of deactivation when needed.

Users are created in Learningbank with the following attributes:

  • Email

  • First name

  • Last name

  • Username

  • Phone

  • Active/inactive status

  • First day

  • Last day

  • Departments

  • Job profile

  • Titles

  • Permissions

Good to know💭 Whether a user is active or not, is based on if the last day in Easy@Work has passed or not.

Redirect from App with Automatic Login

The redirect from app setup allows users to be redirected from the Easy@Work app or website, directly to the Learningbank app or website, where the user is automatically logged in.

This setup is automatically created, whenever the delegated user integration is also created.

How It Works

When the redirect from app setup is configured, users can be redirected with automatic access to Learningbank directly from Easy@Work. This happens by simply clicking the Learningbank tile inside of Easy@Work.

The users are automatically send to either the Learningbank website or app, depending on if the app is installed or not.
